Job Description – Senior Yacht Broker Assistant (Monaco Office)

Job title of this position is Broker Assistant and the working place is the office of OCI, Monaco, as part of the OCI group. The Broker Assistant assists mainly the Senior Broker and Director and is part of the team in the Monaco office. She/he reports and communicates to the superior and the Managing Partners or their representatives. The Broker Assistant is deputy of the other Assistants in the Monaco office in case of their absence and vice versa.

  • The Broker Assistant provides fast and excellent service, while treating all Clients as well as all suppliers, crew and all Ocean Independence staff with respect and courtesy.
  • The Broker Assistant performs all tasks and duties in accordance with the company`s quality management system (QMS) including guidelines, procedures and policies or other specific instructions for the Sales Assistant, subject to regular revisions by OI.
  • The Broker Assistant develops and maintains in-depth knowledge of standard OI principles of business conduct, business practices and ethics and applies these to all aspects of the role.
  • The Broker Assistant possesses strong computer literacy skills and is proficient in software applications such as Word, Excel, Outlook, PDF, etc. The employee pays high attention to detail and possesses essential organization skills.
  • She/he is a good communicator and speaks a high standard English, preferably also Italian and French.
  • The Broker Assistant has a comprehensive understanding of the yachting industry and/or the luxury sector. The role requires confidentiality at all times whilst working in a professional environment.

The main duties and daily works are the following:

General office duties

- General Assistance to the Broker (sales, charter, marketing etc.)

- Diary and contacts administration

- Travel arrangements and hotel bookings

- Preparing meetings and making minutes of the same

- Outgoing mail & incoming mail and dealing with couriers

- Archiving, filing relevant documents according to the Company’s filing system

- Expenses reports

- Answering and taking care of telephone and fax communication /switchboard

- Help with day to day work in the office

- Meeting secretary (hosting visitors, etc.)

- Assistance with the organizations of events if needed

- Participation during events and meetings

Charter & Brokerage Assistance

- Dealing with enquiries and sending offers and information - on behalf of the Broker

- Organizing yacht viewings

- Administration of CA agreements

- Preparing CA yacht Announcements for Charters and Sales

- Preparing Specifications for Charters and Sales

- Updating all databases for CA yachts: OCI-YDB, Yatco, Yachtfolio, Yachtworld, etc.

- CRM administration, including but not limited to the registration of all prospects, clients, contacts and opportunities, and the regular maintenance and updates of the information entered.

- Filing yacht brochures and maintain the stock up to date

- Assisting the Broker with viewings for their CA yachts, if needed

- Assisting the Broker at Yacht Shows and/or other events, if needed

- Contact with Captains and Crews of the CA yachts

- Maintaining Crew profiles and CVs of the CA yachts

- Communication and correspondence with clients on behalf the Broker

Work hours from 9am to 18pm (Fridays 17pm) with 1hr lunch break. The Broker Assistant is present in the office during set working hours except when absent due to client meetings, events, yacht shows, shipyard or yacht visits.

We are looking for someone with a strong passion for Yachting industry, that enjoys taking on a challenging support role, where they would get to experience everything from A to Z in the yachting (sales, charter, management, marketing, events etc.).
